Staying On Top Of Email Using IMAP

Today's smartphones make it easy to check e-mail, so there's no excuse for having an overflowing inbox. But if you're just starting out as an entrepreneur, there's a good chance you're using a consumer-oriented "POP3"  e-mail service, which can become a headache as your business takes off.
Media_httpblogtarobyo_obkkz
Here's why: Short for "Post Office Protocol 3," POP3 downloads messages to your device's e-mail client, such as Outlook or Entourage, and then deletes them from the server. So if you check messages from multiple devices--say, a laptop at home, a desktop in the office and a smartphone in between--each of their inboxes is different. It's more efficient to use an e-mail system based on Internet Message Access Protocol (IMAP), which keeps all of your devices' inboxes in sync by giving each one a copy of your messages but still preserving the original on the server. That means, for example, that you can read a message on your laptop in the morning and review it again in the afternoon from your smartphone. Ditto for messages you've sent, deleted or moved to a special folder, because every time one of your devices connects with the server, it gets an updated snapshot of your whole account. With POP3, you'd have to update each device individually and manually--a huge waste of time and a great way to get yourself in a position where an important message is on your desktop, but all you have is your smartphone. Not all e-mail providers charge extra for IMAP. For example, Google's free Gmail uses IMAP and works with most major e-mail apps, such as Outlook, Taroby and smartphone operating systems, such as Android, iPhone and Windows Mobile. In the current globalised economy many small and medium business houses are engaged in international business. In international business spread across time zones, its very important to send the business emails in your business partner’s time zone. If you want your partner to receive a particular email message early in the morning, say  one hour after his day has began, it's pretty hard to do that using any traditional Email Client, as you might need to stay awake late in the night, and hit that send button at that particular time. This is where Taroby’s “Send Later” Feature comes in Handy, allowing you to save messages to be sent at a future date and time. You need not loose your sleep while your business partner recieves the email in time - all managed by Taroby.

Taroby - Demystifying your Team Inbox

Taroby is an email client on the web. But it does a lot more than what your normal email client does. It makes your Inbox more powerful by integrating In-box with a work flow manager and ticketing system. All these is done through a new concept of Inbox Sharing. Concept of sharing is not new to us, We use Facebook/Orkut to share messages among our friends, Flickr is used to share photos with friends and family, in google document we share documents with a team of individuals. In Taroby we configure an email account and share it with a Team of individuals with whom we want to share the email account with. f.e consider you have an sales team of 3 members and all your sales enquiry come to the email ID sales@yourdomain.com. If you use any of the traditional email client, one of the team member will download the mails and then forward it to the respective team mate. If there is a clarification needed on the email that email again gets forwarded around with CC, BCC etc and individual copies of emails are piled up all around the TEAM. Taroby handles this chaos for you.

Taroby allows the user to assign the email instead of forwarding it. When the user looks in his Team Inbox in Taroby he knows who is assigned/working on which email. All the internal communication is handled via comments and is attached to the email. Even if one of the team member leaves the team entire information associated with him remains intact. This helps a new comer to quickly learn the facts.

Using Comments/Notes for Promoting Context Awareness

Media_httpblogtarobyo_zsxik
While using a Shared inbox like Taroby in our team, every email coming to the team inbox, gets assigned to the person who reads it first. Consider that I've read an email from a customer or client. After reading the email and getting an idea, of what's to be done. I should make a decision to do it or assign it to someone in the team who's most suitable to do the task. While assigning it to a team mate, I'll be attaching an informative Comment / note about what I've perceived about the email which would be visible to everyone in the team. This helps the entire team by making everyone aware of the context of the email. All the other members of the team need to spent less time on the email as they can easily get an overview by just looking through the comments and Email History of that email. Comments or Notes also lets them contribute their part when ever necessary. In Taroby, Emails are not forwarded to all the people involved, Instead of that, internal communications within the team takes place with the help of the Comments or Notes attached to the email. It’s a lot easier than sending emails with 'CC' or 'BCC' in MS Outlook or any other Email Client.
