Using Comments/Notes for Promoting Context Awareness

While using a Shared inbox like Taroby in our team, every email coming to the team inbox, gets assigned to the person who reads it first. Consider that I've read an email from a customer or client. After reading the email and getting an idea, of what's to be done. I should make a decision to do it or assign it to someone in the team who's most suitable to do the task. While assigning it to a team mate, I'll be attaching an informative Comment / note about what I've perceived about the email which would be visible to everyone in the team. This helps the entire team by making everyone aware of the context of the email. All the other members of the team need to spent less time on the email as they can easily get an overview by just looking through the comments and Email History of that email. Comments or Notes also lets them contribute their part when ever necessary. In Taroby, Emails are not forwarded to all the people involved, Instead of that, internal communications within the team takes place with the help of the Comments or Notes attached to the email. It’s a lot easier than sending emails with 'CC' or 'BCC' in MS Outlook or any other Email Client.

Is it important to track Email History?

While working in a team based environment, a common query which has to be addressed is: "Who sent that email to the customer?" This is where Email History feature in an Email Management Software comes in handy for everyone in the team. Every Email which comes into the team inbox has an Email History button attached to it. It lets everyone in the team know what all has been done on that Email; Who all has put notes or comments on it, Who has read it, who has replied to it, whom it has been assigned to and a whole lot of helpful which brings in transparency to the team. As the Emails are shared within the team, it doesn’t matter if a team member is on vacation. Anyone in the team would be capable to fill in his role. With the Email history feature you can instantly get an overview on any activity that has taken place over an Email.
